How does the Reach ATS implementation process work?

First, we hold discovery sessions. These allow us to really dig into the detail of your hiring routines and fully understand your needs. We then build your bespoke ATS and demonstrate it to you. Working with you we adapt and optimise the system further.

Once you’re happy with the system, we add in your workflows and begin training your HR team. Then it’s time for you to really get to know your new Reach ATS and test it fully (we call this User Acceptance Testing – UAT). While you’re doing that, we train your Hiring Managers and any other colleagues who will interact with the system.

As we enter the final launch prep stage, we ensure all integrations are working perfectly and upload any current vacancies and applications. You’re ready to go live!

How will our project be managed?

Your project will be managed by a dedicated Implementation Manager. It’s their job to learn about your business and help you squeeze every ounce of potential from your new Reach ATS.

Your Implementation Manager will guide you through each step of the process, working closely with your Key Contact. Regular weekly project calls will allow both parties to track progress and maintain momentum.

We also use an onboarding platform, which provides clear visibility of the project’s progress and facilitates easy document sharing and communication. You’ll be able to see instantly what’s been completed and what’s coming up next.

Our Development Team are also on hand to assist with any technical requirements, from guidance on exporting data to liaising with your own technical team for smooth integration.

How long does it take to implement Reach ATS?

From initial discovery meetings to launch usually takes around 6 weeks. But faster set ups are possible if required. We go through timescales during our initial meetings, and will provide you with a complete, timed project plan for your approval.

Is training included as part of implementation?

Yes. Training is a core part of Reach ATS implementation. First, we train your HR team on all aspects of the system; then we run separate sessions for your Hiring Managers, familiarising them with their dedicated portal. We’re also happy to include contacts from other departments who might interact with the system. And of course, even after launch our customer success team will always be available for ongoing support, advice and training.

Is there User Acceptance Testing?

Naturally! This is your Reach ATS, and it needs to work for you. Once the system is built and our development team have completed their testing, your User Acceptance Testing (UAT) begins. This is a process that runs right through until your new system is signed off and ready to go live.

UAT helps your team familiarise themselves with their new Reach ATS. They can push candidates through the system and raise any additional considerations or requirements. You’ll be testing the system from all user perspectives, HR admin, Candidate and Hiring Manager, so you’ll truly understand how it feels for different users.

The first UAT session will be hosted by your Implementation Manager, either online or face to face. We also build time into the project plan for you and your team to test the system independently to ensure you have plenty of time to make sure it’s a perfect fit.

Is there a sandbox or test environment we can use during implementation?

Yes. Once we’ve purpose built your Reach ATS, we train your HR team and provide plenty of time for you to test the software fully. This gives you space to experiment, practice adapting workflows, build confidence, and refine configurations before going live.

Will my recruitment process be disrupted during implementation?

Not at all. Your existing recruitment process remains operational while we configure and test your Reach ATS system in parallel. Once you are ready, we prepare your new system for launch, confirm integrations and upload all your live vacancies and applications for you. The transfer to your new Reach ATS will feel seamless.

Can I migrate historical recruitment data into Reach ATS?

Absolutely. Our implementation team can migrate any historical data you need from previous systems to your new Reach ATS. They will guide you through what’s required, ensure GDPR compliance, and handle the technical transfer securely and efficiently.

Can Reach ATS integrate with our other HR or payroll systems during implementation?

During our initial discovery sessions, we work with you to identify which platforms, software and websites your new Reach ATS needs to be integrated with. This will form part of our initial build process, and you’ll have plenty of time to test those integrations are working flawlessly before launch. We work with you, your vendors and any relevant internal teams to make this as seamless as possible. You can read about integrations here.

How much flexibility do we have to change things after go-live?

Reach ATS is designed to be adaptable – we are famous for our flex!  We deliver your system pre-built with your customised workflows and user access; but you can make changes to settings, templates, workflows, and settings whenever you need to, either independently or with our help.

What happens after implementation is complete?

Once your brand-new Reach ATS is up and running, your dedicated implementation team will hand over to our brilliant customer success team. You’ll have access to ongoing technical support, system updates, and optimisation guidance as your needs evolve.
